1 Lead Records
Creating & Managing Leads
Leads can be created automatically (website forms, campaigns) or manually when someone calls or you meet a potential client.

Try it: Go to Leads → Create Lead → Fill out the fields and save.
2 Lead Conversion & WorkDrive Folders
Converting Leads & Automatic Folder Creation
When you convert a lead, it creates a Contact, Matter, and File. WorkDrive folders are automatically created with a client folder that can be shared with the client for document exchange.

Try it: Open a Lead → Click Convert → Create new File, Contact, and Matter → Check WorkDrive for the new folders.
3 Decision Vault Form Automation
Automatic Decision Vault Form Creation
When a Matter is created in (or moved to) the "LLPS Scheduled" stage, a Decision Vault Form is automatically created. This generates a form invite URL that you send to clients for their questionnaire.

Try it: Create or convert a Matter in the PNC pipeline (LLPS Scheduled stage) → Check the Decision Vault Forms related list on the Matter.
4 Email Notifications & Workflows
Understanding Your Email Automations
Your system has multiple automated emails that trigger based on Matter stage changes. You can view and modify these in Setup → Automation → Workflow Rules and Actions → Email Notifications.

Review: Go to Setup (gear icon) → Automation → Actions → Email Notifications to see and edit the email templates.
Decision Vault Homework Welcome Email
Sends 2 minutes after Matter reaches "LLPS Scheduled" stage (slight delay to ensure Decision Vault Form is created first).
Homework Pending Follow-Up Email
Sends when Matter moves to "Homework Pending" stage.
Homework Complete Confirmation Email
Sends when homework is marked complete.
Pending Stage Nurture Series (3 emails)
When stage is "Pending" (prospect considering decision), sends emails on Days 2, 4, and 6.
Engaged & DNE Emails
Emails sent when Matter moves to "Engaged" or "DNE" (Did Not Engage) stages.
Rescheduled/Canceled Email
Sends when a meeting is rescheduled or canceled, along with a task to follow up.
5 Tasks & Date-Based Workflows
Homework Follow-Up Task (4 Days Before LLPS)
If homework is still pending 4 days before the LLPS date, creates a task to follow up and reschedule if necessary.
Pending Follow-Up (6 Days Before LLPS)
If stage is still "Pending" 6 days before LLPS date, triggers a follow-up.
Drafter Tasks
When a Drafter is assigned to a Matter, tasks are created based on whether the drafter is outsourced or Elizabeth.
Signing Anniversary Emails (Years 1, 2, 3)
Based on the Signing Ceremony Date, sends anniversary emails at 1 year, 2 years, and 3 years.
